Send a meeting request from CRM Contacts

To send a meeting request from the Partner Center CRM, open the contact's profile in CRM → Contacts, click Book a meeting, select an event type, and click Send. The contact receives an email with your booking link and picks a date and time that works for them.

Booking vs. requesting

This feature sends the contact an email so they can choose their own time slot. If you want to book the meeting yourself on a contact's behalf, use the Book a meeting button on the My Meetings page instead. See My Meetings.

How do I send a meeting request?​

  1. Navigate to CRM → Contacts.
  2. Open the contact's profile.
  3. Click the Book a meeting button near the top of the contact profile.
  4. In the dialog that appears, select the event type you want to use for this meeting. The event type determines the booking link that is sent and the email subject and description.
  5. Click Send.

The contact receives an email containing your booking link. They click the link, choose an available date and time, and confirm the booking. The meeting is then added to your calendar automatically.

Because the link is generated from the contact's profile, the booking form automatically fills in their known name, email, and phone number — so they don't have to re-enter details already on file. These fields stay fully editable, so the contact can update or clear any value before confirming, and any detail that isn't on file is simply left blank for them to fill in.

How do I customize the invitation email?​

The subject and description of the meeting request email come from the Customize invitation email settings on each event type. To personalize the message:

  1. Go to CRM → My Meetings.
  2. Click Manage booking links (or navigate to Settings → Event types).
  3. Open the kebab menu (⋮) next to the event type and click Settings.
  4. Expand the Customize invitation email section.
  5. Update the Subject and Description fields.
  6. Click Update event type to save.

The next meeting request sent using that event type will use your updated subject and body.

Frequently asked questions​

Is the booking form prefilled with the contact's details?

Yes. Because the link is generated from the contact's profile, the booking form fills in the contact's known name, email, and phone number. The contact can edit or clear any value before confirming, and any detail that isn't on file is left blank.

Can I edit the text of the meeting request email?

Yes. The subject and description come from the Customize invitation email settings on each event type. Go to CRM → My Meetings, click Manage booking links, open the event type's Settings, update the Subject and Description, and click Update event type.

How do I book a meeting for a contact instead of sending a request?

Use the Book a meeting button on the My Meetings page to book the meeting yourself on the contact's behalf. The button on the contact profile sends the contact an email so they can choose their own time slot.

What happens after the contact picks a time?

The contact confirms the booking from the link in the email, and the meeting is added to your calendar automatically.
